How to Fix Labels That Print Off the Label-Sheet Grid

The text starts in the right place at the top, then drifts farther off with every row until the bottom labels are split across two cells. It's one of the most common print headaches we hear about, and it almost always comes down to one setting.

Why the labels drift off the grid

There are two things going wrong, and they compound. The first is scaling: if printing is set to fit-to-page (or shrink-to-fit), the printer resizes the whole layout by a few percent to respect its own margins. A small percentage is invisible on a single label, but across a full sheet it accumulates, so each row sits a little lower than the cell it belongs to. The second is a template mismatch: the cell sizes and spacing in your file don't match the physical sheet, so even at 100% the artwork doesn't sit where the die-cuts are.

That's why the answer isn't to nudge the template a few millimeters and hope. The reliable way is to take the real measurements from the sheet in your hand and build the layout to match exactly, then make sure the printer doesn't rescale it.

Measure the cell, place at actual size, print at 100%

Put a ruler on the label sheet and measure a single cell: its width and height, and the margin from the top-left edge of the page to the first cell. The label maker often prints these on the package too, but measuring the sheet you actually have avoids surprises. The non-negotiable step is printing at actual size (100%) with no fit-to-page and no auto-rotate. That's what stops the cumulative drift. Before you commit a full sheet of label stock, run a test on plain paper and hold it up to the label sheet against a window — the printed boxes should sit dead center in each cell. If they're off by a consistent amount, shift the whole layout by that offset and test again. Once one sheet lines up, the same file will line up every time.

Why a quick test sheet saves the whole pack

Label stock isn't cheap, and a misaligned print wastes the whole sheet at once. A thirty-second test on ordinary paper is the difference between fixing the offset for free and binning a pack of labels. This is the same idea behind printing anything at its true size: trust the measurement, not the on-screen preview, and confirm with paper before you scale up. When a print comes out shifted or the wrong size in general, the fix usually traces back to the same fit-to-page setting at the heart of this one.
